Our company is a well-established organization navigating a significant transition following an acquisition by a U.S.-based firm. As our HR operations expand and evolve to align with U.S. labor regulations and best practices, we are seeking an HR Assistant who brings in-depth knowledge of HR processes in the USA. This full-time, remote role is critical in supporting our HR team through increased compliance, data management, and administrative tasks.

Job Summary
The HR Assistant will provide vital administrative support within the HR department, focusing on ensuring compliance with U.S. employment laws, managing employee records, and assisting in HR research and documentation. The ideal candidate will have a solid understanding of HR processes in the USA, including OSHA and labor law compliance, and will excel in a fast-paced, remote work environment.

Key Responsibilities

HR Compliance & Research
Conduct compliance research on OSHA regulations and labor laws across multiple states.
Audit HR records to ensure adherence to U.S. employment standards.
Stay updated on HR best practices and regulatory changes to support policy updates.

Data Entry & Administrative Support
Manage new hire documentation, onboarding paperwork, and compliance forms.
Maintain accurate employee records and HR databases using HR software tools.
Assist with payroll documentation and organize HR files for audits and reviews.

Communication & Coordination
Handle email correspondence, scheduling, and routine HR administrative tasks.
Collaborate with teaUpgrade to see actual infombers through communication tools (Slack, Zoom, Microsoft Teams).
Provide support for HR inquiries and coordinate efforts with other departments as needed.


Must-Have Skills & Qualifications
Experience: Minimum of 2+ years in an HR assistant or administrative role with exposure to U.S. HR processes.
Regulatory Knowledge: Proficient in U.S. labor laws, OSHA compliance, and employment regulations.
Data Management: Strong data entry skills with high attention to detail for maintaining HR records.
Communication: Excellent verbal and written communication skills, with proven experience using collaboration tools such as Slack.
Organizational Skills: Demonstrated ability to manage multiple tasks efficiently and work independently in a remote setting.
Research: Capable of conducting thorough HR compliance research and staying updated on evolving regulations.

Tools & Platforms
Google Workspace: Docs, Sheets, Drive, Gmail, Calendar for documentation and communication.
HR Software: Experience with platforms such as BambooHR, Workday, or ADP for employee recordkeeping.
Compliance Resources: Proficiency with OSHA online portals and labor law databases for compliance research.
Communication Tools: Regular use of Slack, Zoom, and Microsoft Teams for team collaboration.
Payroll Systems: Familiarity with tools like QuickBooks, Gusto, or Paycom for payroll documentation.
Task Management: Knowledge of Airtable or Trello for tracking projects and managing tasks.
