About Us:
We are a dynamic and growing husband and wife real estate business based in Hawaii, dedicated to delivering exceptional service to our clients. Utilizing Follow Up Boss as our Customer Relationship Management (CRM) tool, we ensure efficient and effective client communication. We seek a dedicated and detail-oriented Virtual Assistant to manage our Follow Up Boss CRM and support our real estate operations.
Job Summary:
The Full-Time Virtual Assistant will be responsible for managing our Follow Up Boss CRM and supporting various administrative tasks to ensure smooth operations. This role involves client communication, data management, and implementing action plans under the guidance of our team.
Training and Working Hours:
There will be training provided within Hawaii Standard Time (HST) for the first 45-60 days. Hours will be Mon-Fri 9:00am (HST)-5:00pm (HST)

Key Responsibilities:
MLS Market Watch: Set each client on an MLS market watch and send monthly MLS
Client Communication: Text clients using text templates when MLS updates are sent. Send automated texts when notecards go out and if
Smart Lists Management: Review Smart Lists daily to identify clients needing calls or follow-ups and take appropriate action.
TMK Access: Update contact records with correct addresses and spouse information using TMK access.
Lead Management: Review leads daily, add action plans, and create new action plans under Marlene’s direction (e.g., birthday action plans).
Client Data Management: Add action plans to past clients, update My Deals (access to Skyslope required), and import information from Google Forms (e.g., seller birthdays) to set up automated birthday action plans.
File Management: Upload Google Forms and pertinent files to client profiles.
Market Activity Updates: Send 6-month market activity updates to past clients and schedule birthday lunches one month in advance, setting clients up on birthday list automation.

Requirements:
Proven experience as a Virtual Assistant or in a similar administrative role.
Proficiency with Follow Up Boss or similar CRM tools.
Excellent communication skills, both written and verbal.
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and prioritize effectively.
Tech-savvy with the ability to quickly learn new software and tools.
Reliable internet connection and a suitable remote working environment.
REQUIRED Qualifications:
Experience in the real estate industry.
Familiarity with MLS systems and TMK access.
Knowledge of Skyslope or similar transaction management tools.
