Position Overview:
The Finance and Operations Manager will take the lead in overseeing the financial management, forecasting, and operational workflows for the company’s projects and client relationships. You will be responsible for developing and maintaining budgets, forecasting, preparing financial reports, and supporting operational needs. This role includes managing and mentoring a team of two bookkeepers to ensure accuracy and efficiency in day-to-day financial operations. Additionally, you will be responsible for processing 1099s and W2s, as well as communicating with the tax accountant to ensure timely tax filings. The position requires experience working with U.S.-based clients (LLCs, S-Corps) and utilizing tools such as Harvest, QuickBooks, Gusto, When I Work, and Smartsheet.
Key Responsibilities:
Financial Management:
Develop and manage budgets and forecasts for ongoing projects and operations.
Monitor financial performance, identify risks, and make recommendations to optimize costs.
Prepare financial reports and provide insights to leadership on financial performance.
Ensure accurate financial reconciliations and reporting, and track key financial metrics.
Operations & Project Support:
Collaborate with project teams to ensure efficient workflow and project execution.
Assist with the preparation and review of Statements of Work (SOWs) and contracts.
Manage operational tasks, ensuring resources, timelines, and budgets align with client expectations.
Ensure that financial controls and compliance requirements are met in day-to-day operations.
Team Management:
Supervise and mentor two bookkeepers, ensuring they adhere to company standards and deadlines.
Oversee their day-to-day tasks, provide guidance, and ensure they are equipped to handle financial operations efficiently.
Provide feedback and performance evaluations to help foster professional growth and development.
Payroll & Tax Filing:
Process 1099s and W2s for employees and contractors.
Collaborate with the tax accountant to ensure accurate tax filings, including year-end documentation and compliance.
Ensure timely and accurate preparation of all payroll-related forms and documents.
Client and Internal Team Collaboration:
Serve as the main point of contact for clients and internal teams for financial and operational matters.
Collaborate with the HR team to manage payroll and related tasks using Gusto.
Help manage team schedules and workflows using tools like Smartsheet and When I Work.
Tool Management & Reporting:
Use Harvest for time tracking, project management, and invoicing.
Leverage QuickBooks for accounting and financial reporting.
Maintain operational tracking and reporting using Smartsheet and other management tools.
Qualifications:
3+ years of experience in finance and operations, preferably working with U.S.-based clients (LLCs and S-Corps).
Experience managing a small team, especially in a finance or accounting role.
Strong experience in budgeting, forecasting, and financial reporting.
Experience with processing 1099s and W2s, as well as collaborating with tax accountants for filing purposes.
Proficiency in using financial and project management software such as Harvest, QuickBooks, Gusto, When I Work, and Smartsheet.
Excellent attention to detail, with a track record of managing multiple projects and deadlines effectively.
Strong communication skills, especially in a remote, client-facing role.
Comfortable working a graveyard shift (8 AM to 5 PM PST) and adapting to a flexible work schedule.
Ability to work independently, take ownership of tasks, and meet deadlines with minimal supervision.
Understanding of SOWs, financial controls, and operational processes in a remote setting.
