We are looking for a highly structured and detail-oriented Virtual Assistant to support finance, inventory management, and bookkeeping tasks for Bered – a growing e-commerce business focused on preparedness products.
Your role will involve maintaining financial dashboards, tracking inventory, forecasting future expenses, and organizing bookkeeping records in Google Drive. You will work closely with the business owner and our sourcing agent in China to ensure smooth operations.
1. Finance Management & Reporting
Maintain a monthly financial dashboard with:
Revenues & expenses (detailed breakdown).
Incoming & outgoing VAT (for Sweden & other European markets, with a brief provided for each market).
Remaining cash flow at the end of each month after all costs.
Future expense forecasts based on:
Fixed costs & subscriptions.
Upcoming product orders based on sales trends & lead times.
Expected income vs. upcoming expenses to predict cash flow issues before they happen.
Create monthly reports with insights on financial health.
Ensure invoices are paid on time and flag any discrepancies.
2. Inventory Management & Procurement Planning
Track inventory levels and maintain an updated inventory report in Google Sheets.
Analyze sales trends & stock levels to predict when restocking is needed.
Prepare a forecast for upcoming orders based on:
Current inventory
Sales trends
Lead times
Notify our agent in China when new stock orders should be placed (you will not be in direct contact with factories).
Keep a record of all purchase orders, shipping costs, and import duties.
3. Bookkeeping Support & Documentation
Organize all financial records in Google Drive, including:
Invoices (incoming & outgoing)
Receipts & payment confirmations
Bank transactions
VAT reports (for Sweden & other European markets, based on provided briefs).
Ensure all documents are correctly named & categorized for easy access.
Maintain a tracking file that logs all uploaded bookkeeping records.
Alert if any documentation is missing or unclear.
Tools you will be using:

? Notion – Task management & documentation
