Job Overview
We are hiring an Executive Virtual Assistant from the Philippines to support the agency owner. This role with be split into two. One, in an Executive Assistant capacity, you will help in managing day-to-day operations, streamlining processes, and executing large projects. Two, in an Administrative Capacity, you will aid in managing customer service needs, scheduling communication and performing various tasks, as required. The ideal candidate is a self-starter with proven experience in customer service as well as project management, automation, and developing workflows, systems, and checklists. This role requires exceptional organizational skills, attention to detail, and the ability to work independently with minimal supervision.
Key Responsibilities
Assist the agency owner in managing and executing large-scale projects from start to finish.
Assist the agency owner in managing and executing day-to-day customer service needs.
Design, implement, and document systems, processes, workflows, and checklists to improve operational efficiency.
Leverage automation tools to streamline repetitive tasks and optimize productivity.
Organize schedules, prioritize tasks, and ensure deadlines are met consistently and in a timely manner.
Conduct research, compile data, and prepare reports as needed to support decision-making.
Coordinate communication with clients, vendors, and tea
Maintain meticulous records and ensure all documentation is up-to-date and easily accessible.
Identify opportunities for process improvements and propose actionable solutions.
Qualifications
Minimum of 3-5 years of experience as a virtual assistant, executive assistant, or in a similar role.
Proven track record of successfully executing large projects with limited supervision.
Extensive experience creating and implementing systems, processes, workflows, and checklists.
Proficiency with automation tools (e.g., Zapier, ClickUp, Trello, or similar platforms).
Exceptional organizational and time-management skills with a keen eye for detail.
Strong written and verbal communication skills in English.
Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
Familiarity with project management software (e.g., Asana,
Experience in the insurance industry or with multi-line agencies is an advantage but not required.
