About the Role:
We’re looking for a super detail-oriented Executive & Product Development Team Assistant to join our team. This role is all about keeping things organized, thinking one step ahead, and making sure nothing falls through the cracks—especially when it comes to supporting the founder and managing product development.
You’ll be involved in both high-level executive tasks and hands-on product development support. If you’re proactive, tech-savvy, and love the skincare world, this might be perfect for you!
Availability Requirements:
* Mornings EST are a must to support the founder.
* Be flexible with time zones—our products are developed in Japan and Korea.
Key Responsibilities:
1. Product Development Team Support:
* Coordinate with Labs & Chemists: Be the point person for labs, managing schedules, meetings, and product communication.
* Sample Management: Track samples with batch codes, organize tester feedback, and keep everything neat.
* Packaging & Compliance: Work closely with designers to ensure packaging compatibility and meet compliance standards.
* Research & Insights: Conduct ingredient and trend research and summarize findings for easy decision-making.
* Keep Projects on Track: Maintain timelines, manage milestones, and make sure deadlines are met for the whole team.
2. Executive & Administrative Assistance:
* Stay One Step Ahead: Manage the founder’s calendar, prioritize tasks, and anticipate her needs before she even asks.

* Documentation & Budget Tracking: Keep records organized—product briefs, compliance docs, and budget tracking are your domain.
3. Marketing & Brand Assistance:
* Influencer Coordination: Get sample products to influencers and testers on time. Keep everyone on schedule.
* Launch Prep: Help get everything ready for launches, from marketing materials to logistics.
4. General Team Support:
* Cross-Team Coordination: Be the glue that connects everyone—chemists, designers, and marketers.
* Manage Project Tools: Keep ClickUp up to date, so everyone knows what’s happening.
What We’re Looking For:
* 10+ Years of Executive Assistant Experience: You’ve done this before and know how to support an executive flawlessly.
* Detail-Oriented: You catch the small stuff and ensure no detail is overlooked.
* One Step Ahead: Anticipate what’s needed before the founder asks, and make sure everything is set for success.
* Tech-Savvy: Experience with AI tools like ChatGPT, Midjourney, and Canva.
* Great Communicator: You can handle
* Interest in Skincare: Experience is a plus, but curiosity and a willingness to learn are essential.
* Fast Internet Connection: This is a remote job, and a stable connection is critical.
