Job Overview:
We seek a highly resourceful and assertive Executive Assistant & e-commerce virtual Assistant to streamline transactions and support our growing dropshipping business. This role requires expertise in e-commerce operations, supplier sourcing, and showroom management, with a strong understanding of product quality and retail trends. The ideal candidate will be proactive, detail-oriented, and passionate about Filipino-made products.
Key Responsibilities:
E-commerce & Dropshipping Management:
Research and source suppliers or manufacturers of Filipino-made products worldwide.
Identify direct producers and sellers for unique, high-value, lightweight products such as jewelry, Barong Tagalog (custom-made and ready-made), graduation sashes, and other handcrafted goods.
Evaluate shipping costs and logistics to ensure affordability and efficiency.
Upload and manage product listings on e-commerce platforms (Amazon, Shopify, BigCommerce preferred).
Product descriptions include colors, sizes, shipping fees, packaging costs, and profit margins.
Maintain and update the company’s e-commerce platforms.
Manage order fulfillment, ensuring smooth packaging and shipping processes with assistance from the showroom team.
Handle customer inquiries and support via
Showroom & Product Management:
Oversee the physical showroom in the Philippines (not a commercial space but a dedicated product display and photography studio with a green screen setup).
Arrange for suppliers to visit the showroom for product quality checks and photoshoots.
Conduct product quality inspections and ensure compliance with company standards.
Capture high-quality product images using a professional camera or iPhone 15 ProMax or higher models.
Collaborate with the team to organize product features and promotions.
Social Media & Marketing Support:
Manage and post products on Instagram and TikTok (minimal
Create engaging content and promotional campaigns for social media.
Assist in monitoring e-commerce trends in key markets (California, San Francisco, Los Angeles).
Administrative & Project Coordination:
Conduct research and compile reports on industry trends, product sourcing, and supplier reliability.
Organize and maintain files and records related to ecommerce transactions and supplier communications.
Coordinate with suppliers, vendors, and logistics partners for smooth operations.
Communicate efficiently via Google Hangouts, Zoom, and
Required Qualifications & Skills:
Experience in e-commerce operations, dropshipping, or online retail.
Strong research, file organization, and project coordination skills.
Ability to identify and source reliable manufacturers and suppliers.
Knowledge of product quality control and fashion sense to assess merchandise.
Proficiency in Google Suite (Docs, Sheets, Drive, etc.).
Familiarity with Amazon, Shopify, or BigCommerce is a plus.
Experience with social media management (Instagram & TikTok for product promotion).
Basic understanding of packaging, shipping costs, and logistics management.
Detail-oriented, assertive, and resourceful in finding business solutions.
Retail experience in local or international brands preferred.
Ability to work independently and manage multiple tasks effectively.
Preferred Qualifications:
Previous experience with quality checks and supplier negotiations.
Background in fashion, retail, or product merchandising.
Strong ability to ask the right questions when dealing with manufacturers (product specs, shipping fees, MOQ, packaging details, etc.).
