Executive Assistant to the CEO
We are seeking a highly experienced Executive Assistant (EA) to provide dedicated, senior-level support to our CEO/Founder. This role is suited for candidates with extensive experience in high-pressure, fast-paced environments, especially those accustomed to working at the executive level in a corporate or professional services setting. The EA will ensure smooth operations by managing the CEO’s schedule, external communications, and high-level administrative tasks.
The ideal candidate will have a strong background in executive support, impeccable organisational skills, excellent communication abilities, and experience in managing high-level relationships both internally and externally. Professionalism, discretion, and proactive problem-solving are essential qualities for this role.
Key Responsibilities:
Executive Administrative Support:
Manage the CEO’s complex schedule with precision, including high-stakes meetings, international travel, and detailed itineraries.
Act as the primary gatekeeper for the CEO, handling all forms of communication, including
Organise and prepare meeting agendas, documents, and reports for both internal and external meetings.
Handle confidential and time-sensitive information with the utmost discretion.
Draft and proofread professional communications on behalf of the CEO, ensuring clarity, accuracy, and appropriate tone.
External Stakeholder Management:
Serve as the first point of contact for external parties, representing the CEO in interactions with high-level stakeholders, including clients, partners, and board members.
Maintain and nurture professional relationships on behalf of the CEO, ensuring timely follow-up and proactive communication.
Project Coordination & Task Management:
Collaborate with the CEO on strategic initiatives, ensuring timely execution of tasks and deliverables.
Assist in managing ongoing projects by coordinating with internal teams and tracking progress.
Oversee special assignments that require high attention to detail and organisational oversight.
Document & Data Management:
Ensure the organisation of key documents and maintain efficient filing systems (both digital and physical), leveraging Microsoft SharePoint for data integrity and accessibility.
Prepare polished presentations, reports, and briefing materials for the CEO’s meetings with key stakeholders.
High-Level Communication and Meeting Coordination:
Manage and prioritise the CEO’s communications with high-profile contacts.
Coordinate video and phone conferences using platforms such as Microsoft Teams, Zoom, Google Meets or other online applications.

Financial Oversight:
Manage basic financial administrative tasks, such as expense tracking, budget reconciliation, and vendor payments.
(Optional) QuickBooks proficiency is an advantage for light bookkeeping tasks.
Qualifications and Skills:
At least 6 years of experience as an Executive Assistant supporting C-suite executives, preferably in a corporate or professional services environment.
Exceptional organisational and time-management skills, with the ability to manage multiple tasks and prioritise effectively.
Outstanding communication and interpersonal skills, with a professional and composed demeanour in dealing with high-level external contacts.
Mastery of Microsoft Office (especially advanced Word, Excel, PowerPoint), and familiarity with SharePoint for document management.
Proven ability to handle confidential information with absolute discretion.
Highly detail-oriented, proactive, and capable of working independently with minimal supervision.
Strong problem-solving skills, with the ability to anticipate needs and act decisively.
Preferred Attributes:
Previous experience in a corporate secretary or similar role, providing support to high-level executives or board members.
Familiarity with UK and international business practices, including working across time zones and managing global relationships.
Flexible availability to accommodate business demands that may occasionally extend beyond standard working hours.
