Role Purpose:
The Executive Assistant to the CEO is a high-impact, strategic role that blends executive support with project management and operational leadership. Schedule:
Full-time
Flexible but generally aligned to Australian and U.S. time zones
Willingness to be available after hours for urgent matters and to manage the CEO’s travel and needed support.

Compensation:
$1200 to $1400 per month

Key Responsibilities
Executive Support & Calendar Management:
Masterfully manage the CEO’s calendar, ensuring priorities are honored and protected.
Coordinate travel and logistics with attention to maximizing time and minimizing friction.
Act as the CEO’s gatekeeper and liaison—communicating effectively on their behalf with internal and external stakeholders.

Strategic Project Management:
Own and drive strategic projects with minimal oversight.
Build simple but effective systems to track and report on project progress.
Use AI tools and automation where possible to accelerate execution and minimize manual tasks.

Chief of Staff Responsibilities:
Serve as a strategic thought partner to the CEO—anticipating roadblocks, surfacing insights, and bringing clarity.
Be the face of the company, speak on behalf of the CEO, and mirror the vision and mission of the company, in all types of communication.
Coordinate leadership teaUpgrade to see actual infoetings, track outcomes, and ensure follow-through.
Align departments and initiatives with the CEO’s strategic goals.

Operational Efficiency & AI-Enabled Process Improvement:
Constantly look for ways to streamline operations using technology and automation.
Implement and train others on new AI tools or processes that save time or improve accuracy.
Build dashboards, templates, or SOPs using tools like Notion, Airtable, or ChatGPT to optimize workflows.

Internal & External Communication Management:
Draft, edit, and manage high-stakes communications, presentations, and reports.
Ensure all messaging aligns with the CEO’s tone, intent, and strategic direction.
Manage and improve the CEO’s digital presence and internal visibility.

Team and Leadership Coordination:
Own all leadership meeting logistics—agendas, minutes, actions.
Be a bridge between departments to keep everyone aligned and moving in the same direction.
Work with People, Operations, and Recruitment teams to align resources to top priorities.

Strategic Planning & Executive Reporting:
Prepare high-quality board decks, executive summaries, and strategy documents.
Track key metrics and provide the CEO with real-time insights to support fast decision-making.
Build simple systems for visibility and accountability across the org.

Skills & Competencies
Tech & AI Fluency:
Confident user of generative AI tools (e.g., ChatGPT, Notion AI, Airtable automations).
Able to evaluate, test, and roll out new software with minimal oversight.
Comfortable building automations or using low-code/no-code tools (Zapier, Make, Notion, etc.)

Soft Skills & Personality:
Proactive by nature – always thinking one step ahead.
Ultra-reliable – known for follow-through, precision, and accountability.
Emotionally intelligent – can read the room, the Upgrade to see actual infont, and the CEO.
Fast learner – able to absorb and implement feedback at speed.
Solutions-focused – brings answers, not problems.
Confidential and grounded – able to hold sensitive info with care and maturity.

Qualifications & Experience:
Minimum 5 years of continuous and recent experience supporting a Founder/CEO or senior executive.
Experience in a high-growth startup or remote-first company preferred.
Familiarity with AI tools, project management systems, and operational improvement frameworks.
Prior exposure to Chief of Staff, operations, or strategic support functions is highly preferred.
High level of communication in English
