We are seeking a highly motivated and versatile Executive Assistant who is ready to take on a variety of responsibilities and think like a business owner in a fast-growing company. Primary Responsibilities (Immediate Focus):

Customer Service Setup for Hearing Aid Company:

Implement and manage customer service platform for hearing aid clients, ensuring seamless communication and top-tier service.
Develop standard operating procedures (SOPs) for customer service workflows, emphasizing efficiency and customer satisfaction.
Answer customer service calls (expecting 1-2 calls per week). When a call comes in, you must assist with empathy, professionalism, and attentiveness to the customer’s needs or concerns.
In addition to phone support, you’ll also respond to customer emails and potentially live chat inquiries, ensuring quick and helpful responses.
After handling customer service tasks and establishing best practices, you will train someone to take over this role, ensuring high-quality service is consistently maintained.
Inventory Management:

Monitor inventory levels and ensure timely reordering and repurchasing of stock.
Build and maintain relationships with suppliers and vendors to ensure accurate, on-time deliveries.
Develop efficient systems for tracking inventory and generating reports.
Outsourcing and Freelance Coordination:

Source, hire, and manage freelancers from platforms like Fiverr to assist with various projects and tasks.
Provide clear instructions and project briefs for freelancers, ensuring that work is completed on time and meets quality standards.
Business Operations & Process Improvement:

Proactively identify areas for improvement in company processes and recommend solutions to increase efficiency.
Help design scalable systems that will grow with the company, including creating training materials and managing a team in the future.
Offer new ideas and solutions to improve both internal operations and customer experience.
Set up a daily reporting system to track key metrics, identify performance trends, and monitor progress on ongoing tasks and projects. Continuously optimize business processes based on this data to improve efficiency and drive growth.
E-commerce Platform Management (Optional but a Plus):

Experience with managing product listings, customer inquiries, and other tasks on platforms like Amazon, Walmart, Shopify, and TikTok.
If you have experience in these areas, you'll help ensure our products are well-represented and sales channels are optimized for success.

E-commerce Experience: A plus if you’ve worked with platforms such as Amazon, Walmart, Shopify, or TikTok and are familiar with managing product listings, customer service, and sales strategies.
Experience: Proven experience in executive support, customer service, inventory management, or project management.
Data-Driven: Comfortable creating and interpreting daily reports, using data to optimize processes and improve business outcomes.
