Hiring: Executive Assistant to a High-Impact Media Executive

About the Role
I’m a media and nonprofit executive operating across several high-stakes, purpose-driven organizations. I manage multi-million dollar budgets, oversee nonprofit boards, co-lead national journalism institutions, and advise mission-driven startups. My work is fast-moving, deeply strategic, and always purpose-led.
I’m hiring a full-time Executive Assistant who will become my operations partner, systems architect, communication filter, project tracker, and strategic amplifier. This isn’t just a support role — this is the person who helps me stay one step ahead while keeping everything behind the scenes running smoothly.
Your Core Responsibilities
Calendar & Inbox Ownership
Own my schedule and inbox with care and authority. You’ll juggle meetings across orgs, prep me in advance, and ensure nothing falls through the cracks.
Project & Campaign Management
Run timelines, track deliverables, nudge tea
Communication & Drafting
Write and edit internal and external communications with fluency and precision. From
Content & Marketing Support
Assist with newsletters, social media scheduling, and light video or image creation. Canva, Meta Suite, and Mailchimp should feel comfortable to you.
Systems Building & Optimization
Help streamline our tools and workflows across orgs. From Slack to Salesforce, 1Password to Google Drive — you’ll make sure everything is organized, documented, and repeatable.
Financial Coordination
Help track invoices, budget forecasts, donor CRM updates, and recurring expenses. You think in terms of ROI and know how to stretch a dollar.
AI & Product Support
Comfort working alongside (and inside of) AI tools is a must. You'll help me research, summarize, generate, and test — both for personal productivity and potential organizational applications.
What You Bring
Extreme attention to detail — you notice typos in donor reports and inconsistencies in meeting times.
Command of the English language — you write like a native speaker, with tone and precision.
Process- and product-oriented thinking — you love refining how things work and can spot inefficiencies.
Discretion and trust — you're comfortable managing sensitive information across financial, legal, and personnel matters.
Self-driven and autonomous — you don’t need micromanagement. You flag problems and bring solutions.
AI-curious or AI-experienced — whether you're using ChatGPT to summarize a doc or testing automations with Zapier, you’re fluent in digital productivity.

Start: ASAP
Schedule: Full-time (35–40 hrs/week), flexible but ideally overlapping U.S. Eastern hours
Location: Remote (must have excellent written and spoken English)
Pay: Competitive, based on experience
