Description:
We are looking for a dedicated, results-driven, decision-making, and detail-oriented Executive Assistant for a virtual role at ARM5 Holdings, Inc. The ideal candidate will have various responsibilities, including managing cash flow, paying vendors or clients, investor relations, being able to communicate fluently and critically with various contacts, following various marketing processes to drive marketing growth, creating spreadsheets and reports, and more.
We’re seeking someone with a high attention to detail, excellent communication skills, business acumen, who’s reliable, and has a strong work ethic.

Responsibilities:
- Manage cash flow, company equity, debt, and other various reports
- Manage outbound cash use (wires, etc.)
- Assist in Investor Relations with professional, courteous, timely communication
- Follow assigned marketing processes to drive our marketing goals
- Contact customers via phone, following templated scripts to gain insights into their purchase behavior and potentially upsell
- Attend weekly meetings
- Filter and respond to messages,
- Schedule meetings and book flights
- Manage a contact list
- Prepare various reporting spreadsheets and maintain online records
- Conduct market research
- Manage financial records and payments to tea
- Manage communications between the company and prospective clients
- Create presentations as needed
- Address administrative queries from employees
- Provide customer service as the first point of contact
Requirements and Skills:
Proven experience as an Executive Assistant or in a similar role
Familiarity with CRM solutions (e.g., Keap), desktop sharing, cloud services, and VoIP technologies
Proficiency in word-processing software and spreadsheets (e.g., MS Office)
Experience with online calendars and scheduling (e.g., Google Calendar)
Proficiency in using project management software (e.g., Asana)
Excellent communication skills via phone,
Strong time management and organizational skills
High attention to detail
High school diploma required; additional qualifications as an Administrator or Executive Assistant are a plus
Salary:
The salary for this role will be based on prior experience, and paid bi-weekly. This is an hourly position, expected to be about 20-30 hours per week when starting. Time is tracked via Time Doctor. After passing a probationary period with satisfactory performance, the position will increase to 30-35+ hours per week within 30-60 days.
