JOB OVERVIEW

Job Overview:
We are seeking a highly skilled and proactive Executive Assistant to provide top-level administrative support to our executive team. The ideal candidate excels in managing complex schedules, organizing meetings, taking detailed notes, and ensuring follow-ups on actionable items. This role requires exceptional organizational skills, discretion, and the ability to anticipate the needs of the executive team.

Key Responsibilities:

Meeting Management:
Schedule and coordinate meetings, ensuring all participants are informed and prepared.
Prepare agendas and take detailed meeting notes.
Provide concise meeting recaps and distribute action items with clear deadlines.

Follow-Up and Task Tracking:
Follow up on outstanding tasks and actionable items with team members and stakeholders.
Track progress to ensure timely completion of key deliverables.

Schedule and Calendar Management:
Manage and maintain the executive team’s calendars, including prioritizing and resolving scheduling conflicts.
Coordinate travel arrangements and itineraries as needed.

Administrative Support:
Draft and edit correspondence, reports, and presentations.
Organize and maintain electronic files and documents.
Handle confidential information with the highest level of discretion and professionalism.

Requirements:
Proven experience as an Executive Assistant or in a similar role, supporting C-level executives.
Exceptional organizational and multitasking skills.
Strong written and verbal communication skills.
Proficiency in scheduling and productivity tools (e.g., Google Workspace, Microsoft Office, Calendly, Zoom).
Ability to anticipate needs and work proactively.
High attention to detail and accuracy.
Ability to handle sensitive information with confidentiality.

Preferred Qualifications:
Experience in project management or task-tracking software (e.g., Asana, Trello, Monday.com).
Experience supporting multiple executives simultaneously.
Strong problem-solving skills and ability to work independently.
