Job Summary
The Executive Assistant to the CEO plays a pivotal role in ensuring the CEO's daily operations are managed efficiently. This role involves providing high-level administrative support, managing schedules, coordinating communications, and serving as a reliable resource to the CEO in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and thrives in a position requiring discretion and professionalism.
Key Responsibilities
Administrative Support
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments to maximize productivity.
- Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
- Handle correspondence by drafting, editing, and reviewing
- Screen and prioritize incoming communications to ensure the CEO’s time is focused on key priorities.
Meeting Coordination
- Prepare agendas, presentations, and briefing materials for meetings.
- Attend meetings as needed, taking notes and tracking action items to ensure follow-through.
- Coordinate logistics for internal and external meetings, including board and stakeholder engagements.
Project Management
- Assist with tracking and managing key projects, ensuring deadlines are met.
- Act as a point of contact between the CEO and internal teams, relaying information and updates.
- Research and compile information for special projects, reports, and presentations.
Relationship Management
- Build and maintain strong relationships with internal and external stakeholders on behalf of the CEO.
- Represent the CEO in interactions with staff, clients, and external partners with professionalism and confidentiality.
- Act as a liaison between the CEO and other executives or departments to streamline communication.
