Position Overview:
We are seeking a highly organized and proactive Executive Assistant to support our agency's leadership team. The ideal candidate will be adept at managing client relationships, organizing client management systems, and assisting in the creation and management of lead generation funnels. This is a part-time, remote position with the potential for growth within the company.
Key Responsibilities:
Email
Calendar Management: Maintain the owner’s schedule, set appointments, and manage meeting requests.
File and Document Management: Organize digital files, documents, and assets in an efficient and accessible manner.
Task Prioritization: Help the owner manage daily to-do lists and prioritize tasks based on urgency and importance.
Client Communication: Act as a point of contact for clients, responding to inquiries, scheduling meetings, and maintaining positive client relationships.
Team Coordination: Collaborate with other tea
Social Media Management: Assist in planning, scheduling, and creating social media content to maintain an active online presence.
Client Onboarding: Assist in the onboarding process for new clients, including gathering necessary information and contracts.
Billing and Invoicing: Help prepare invoices, track payments, and manage client billing inquiries.
Meeting Preparation: Prepare materials, agendas, and reports for client meetings, internal meetings, and creative briefings.
Client Management Systems: Organize and maintain client management systems to ensure smooth workflow and client satisfaction.
Lead Generation Funnels: Assist in the development and management of lead generation funnels to attract and convert potential clients.
Qualifications:
- Proven experience as an executive assistant or in a similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in using client management systems and CRM software.
- Experience with social media management and content creation.
- Ability to manage multiple tasks and projects simultaneously.
- High level of professionalism and confidentiality.
- Proactive, detail-oriented, and able to work independently.
