JOB OVERVIEW

SUMMARY
Our CEO needs an Executive Support Specialist. The task is to manage the majority of the CEO’s business-related responsibilities, including the creation of reports, the taking of minutes, and other administrative duties.

To be successful in this role, you must have extensive experience in the IT field, be well-organized, tech-savvy, have excellent time management skills, and be able to act independently while providing timely support to our CEO.

RESPONSIBILITIES

Maintain CEO’s agenda and assist in planning appointments, board meetings, conferences etc.
Maintain electronic records ensuring information is organized and easily accessible.
Track expenses, process invoices, and maintain accurate financial records.
Conduct research and prepare presentations or reports as assigned.
Helping prepare and attend meetings and keep minutes.
Prepare invoices or financial statements and provide assistance in bookkeeping.
Format information for memos, emails, reports, presentations, and other forms of internal and external communication.
Answering phones and directing calls to the appropriate party, and/or taking messages
Performing administrative task such as ordering supplies and maintaining a records database.
Provide general administrative support

Strong understanding of the IT industry and business operations.
Bookkeeping experience.
Critical thinker with detailed research proficiencies.
Ability to work under pressure and meet deadlines.
Brilliant written and verbal communication skills.
Proficient in MS Office and other project management tool.
In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry.
Familiarity with basic research methods and reporting techniques.
Ability to follow confidentiality guidelines.
