JOB OVERVIEW

We are currently seeking a candidate for a long-term Controller position, with an initial commitment of 20-25 hours per week. There is potential for this role to grow into a full-time position based on the scope of the job and individual performance.

This role requires a high level of proficiency and fluency in English, both written and spoken, to effectively collaborate and communicate in a professional environment. Applicants must also be willing to work during US Eastern Time (ET) business hours.

POSITION SUMMARY

This hands-on role focuses on driving operational efficiency and profitability through meticulous financial management and execution of daily, weekly, and quarterly processes. The Controller will oversee and execute key financial tasks, ensuring accurate reporting, compliance, and alignment with company goals. Collaborating across teams, the Controller will ensure seamless operations while maintaining a focus on cost control and operational improvements.

ESSENTIAL DUTIES AND RESPONSIBILITIES


1. Quarterly Tasks:

o Conduct comprehensive reviews of budgets, forecasts, and profitability metrics.

o Prepare and analyze quarterly financial statements and present actionable insights to leadership.

o Lead quarterly reviews of operational expenses and vendor contracts to identify cost-saving opportunities.

o Ensure compliance with quarterly tax filing requirements and collaborate with external advisors as needed.

o Examine the need to reforecast, run scenarios, create burn reports or cash flow analyses, and assist with bonus calculations as needed.


2. Monthly/Weekly Tasks:

o Perform month-end close activities, including reconciliations, journal entries, and reporting.

o Oversee payroll processing, including coordinating benefits, department changes, and new hires.

o Manage accounts receivable activity, including invoicing and receipts.

o Oversee accounts payable processes, ensuring non-autopay items are processed efficiently.

o Keep bank feeds updated, assign consistent accounting, and liaise with team members to resolve discrepancies and clarify department assignments.

o Reconcile bank, loan, and credit card statements monthly.

o Review weekly accounting accuracy and address any variances.

o Analyze monthly results and budget variances, generating a financial package and dashboard reports.

o Attend and contribute to month-end financial review meetings, following up on action items as needed.

o Gather W9 or W8 forms from new vendors and ensure proper data entry into QuickBooks Online.

o Collect and review vendor reports, and oversee the creation and filing of 1099s.

o Collaborate with team members to ensure respondent 1099 reporting is accurate and complete


3. Operational Process Improvements:

o Identify and implement enhancements to financial and operational workflows.

o Document and maintain Standard Operating Procedures (SOPs) for key processes.

o Leverage technology to optimize financial operations and reporting capabilities.


4. Cross-Functional Collaboration:

o Partner with Sales, Marketing, HR, and IT teams to align financial processes with departmental goals.

o Support operational teams in achieving efficiency targets through actionable financial insights.


5. Additional Responsibilities:

o Provide hands-on support with ad hoc financial projects and analyses.

o Manage owner’s personal financial transactions as needed, including bill payments and budget management.

o Oversee internal accounting activities to ensure compliance and efficiency.

o Run leadership meetings to identify and address the biggest challenges facing the organization.

EDUCATION REQUIREMENTS:

Required:

· Bachelor’s Degree in Accounting or a related field.


EXPERIENCE REQUIREMENTS:

· Minimum 7 years of experience in a controller or similar role.

· Minimum 2 years of experience working with cross-functional teams.
