The Client Intake Specialist plays a crucial role in managing the initial stages of client cases, ensuring accurate data entry, and facilitating effective communication with insurance companies, adjusters, and legal teams. This role requires attention to detail, strong organizational skills, and familiarity with legal documentation processes. The specialist will handle claim openings, document preparation, and support the litigation process while maintaining comprehensive case records.
Key Responsibilities:
Client Intake and Claims Management:
> Conduct initial client calls to gather case information and assess needs.
> Open claims with auto insurance carriers and obtain adjuster information.
> Update and maintain case files in cloud-based systems such as CloudLex.
> Contact health insurance providers to verify coverage and open claims.
> Respond to inquiries and communicate updates via
Document Preparation and Management:
> Prepare and review client letters, packets, and preservation notices for accuracy before sending.
> Utilize Dropbox Fax to send and manage documents.
> Assist in obtaining Freedom of Information Act (FOIA) forms for auto a
> Download and organize records from various sources for attorney review.
Litigation Support:
> Draft and prepare legal documents such as pleading shells, discovery shells, and notices of depositions.
> Ensure all documents are complete and formatted according to case style standards.
> Support the legal team by maintaining accurate records and updating case statuses.
Ad Hoc Tasks:
> Perform additional duties as required, ensuring smooth case progression and client satisfaction.
Requirements & Qualifications:
> Minimum of 2-3 years of experience in client intake, legal support, or insurance claims processing.
> Familiarity with cloud-based case management systems (e.g., CloudLex) and document storage platforms (e.g., Dropbox).
> Strong communication and organizational skills.
> Attention to detail and high accuracy in data entry and document preparation.
> Quick learner with the ability to adapt to new systems and processes.
> Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
> Proficiency in preparing and reviewing legal documents.
> Work schedule: Monday to Friday between 8 AM to 5 PM Eastern Time (EST)
Preferred Qualifications:
> Background in legal administration or insurance claims.
> Experience with FOIA requests and litigation procedures.
> Understanding of medical or auto insurance claims processes.
> Familiarity with legal terminology and case documentation standards.
