Job Description: Virtual Assistant – Customer Service, Scheduling, Dispatch, and Marketing Specialist
Position Overview
We are seeking a skilled Virtual Assistant to join our team and play a crucial role in delivering exceptional customer service, managing scheduling and dispatch operations, and supporting marketing initiatives. The ideal candidate will be organized, proactive, and passionate about providing top-tier support in a dynamic, fast-paced environment.
Key Responsibilities
Customer Service
Respond to inbound calls,
Handle customer questions, concerns, and complaints, ensuring a positive resolution and maintaining client satisfaction.
Maintain accurate and detailed records of customer interactions in the CRM system.
Scheduling & Dispatch Management
Manage calendars, appointments, and schedules for field technicians and service teams.
Dispatch technicians or tea
Monitor ongoing service calls to ensure timely completion and address any delays or changes.
Coordinate follow-ups for rescheduling missed or incomplete appointments.
Administrative Support
Maintain up-to-date client and service records.
Prepare and distribute reports, schedules, and other relevant documents.
Monitor team productivity and provide feedback to improve workflows.
Marketing Support
Assist in creating and scheduling social media content, newsletters, and
Update website content and manage online profiles on platforms like Google My Business, Yelp, etc.
Track marketing campaign performance and compile reports for management.
Engage with customers on social media platforms, responding to reviews and inquiries.
Required Skills & Qualifications
Experience: 2+ years of experience in customer service, administrative support, or a related role. Experience with scheduling or dispatch is a plus.
Technical Skills: Proficiency in CRM systems, scheduling tools, and marketing platforms (e.g., Hootsuite, Mailchimp).
Communication: Strong written and verbal communication skills.
Organization: Exceptional time management and multitasking abilities.
Problem-Solving: A proactive approach to identifying and resolving issues efficiently.
Marketing Knowledge: Familiarity with digital marketing basics, including SEO, content creation, and social media management.
Preferred Qualifications
Experience working in a remote environment.
Familiarity with industry-specific software (e.g., ServiceTitan, HubSpot, or similar).
Basic design skills (e.g., Canva, Adobe Creative Suite).
Strong attention to detail and a customer-first mindset.

Location: Remote (with reliable internet and phone access).
