About Us:
-NYS Residential is a real estate investment company focused on acquiring rental properties, renovating them, refinancing to optimize capital, and managing all operations in-house. Our in-house property management team oversees tenant relations, maintenance, and operations to ensure high-quality housing and strong community relationships.

-Sips & Sparks is a singles event company that partners with venues across the state to host events tailored to different age ranges. These include speed dating and activity-based events that foster meaningful connections in a fun, relaxed environment. We coordinate venue bookings, event scheduling, and participant communications while striving to deliver exceptional experiences for attendees.

-Both businesses operate with existing organizational systems, but as we grow, we recognize the need for a comprehensive overhaul. Currently, we rely on a mix of spreadsheets, communication tools, and manual processes. While functional, these methods lack the efficiency and integration needed to keep up with our expanding operations.

About the Role:

We’re looking for a proactive Business Systems Project Manager to lead the charge in transforming how both companies operate. You’ll create and implement modern, streamlined systems to improve efficiency, enhance communication, and simplify workflows. This is a project-based role starting full-time (40 hours/week) with the potential to transition to part-time for ongoing maintenance and refinement once the systems are established.

Key Responsibilities:

1. Evaluate Current Systems:
-Conduct a thorough analysis of operational processes for NYS Residential (real estate) and Sips & Sparks (events).
-Identify inefficiencies, redundancies, and areas for improvement in workflows, communication, and tools.

2. Design & Implement Updated Systems:
-Develop tailored systems for each company, including updated spreadsheets, workflows, and software tools to manage operations more effectively.
-Introduce solutions for tenant communications, property management tracking, and financial reporting for NYS Residential.
-Implement tools for event scheduling, venue coordination, and participant management for Sips & Sparks.

3. Optimize Team Communication:
-Establish clear communication channels to improve collaboration among team members and external partners.
-Integrate tools that centralize updates, schedules, and progress tracking.

4. Documentation & Training:
-Create comprehensive written guides and step-by-step instructions for all new systems.
-Record tutorial videos to ensure team members can easily understand and use the systems.
-Conduct training sessions (both group and individual) to onboard the team to the new processes.

5. Streamline Operations:
-Learn the ins and outs of both businesses to ensure systems align with operational needs.
-Create scalable processes that support growth and minimize bottlenecks.

6. Maintenance & Feedback:
-Provide ongoing support to refine and adjust systems based on team feedback and operational results.
-Ensure systems are adaptable to the evolving needs of both businesses.

Qualifications:
Fluent in English
Proven experience in project management, operations optimization, or business systems development.
Strong organizational and analytical skills with an ability to create efficient processes.
Proficiency with software and tools for project management, data tracking, and team communication.
Excellent training and documentation skills, with the ability to clearly explain complex systems.
Familiarity with real estate or event management operations is highly desirable but not required.
Self-starter who can prioritize tasks and work independently to meet deadlines.
Compensation:

Full-time for the initial project phase (40 hours per week).
Potential transition to part-time for ongoing maintenance and adjustments.
Competitive pay based on experience and project scope.
