JOB OVERVIEW

We are looking for a Full-Time Virtual Bookkeeper to join our growing team for our printing business in Southern California, and would like to hire someone experienced from the Philippines for a long-term position, Graveyard Shift
8/9am-6/7pm PST only!

Your Responsibilities:
* Communicate daily directly with onsite and remote Team members in Southern California (Pacific Standard Time - PST)
* AR Process & Supervision - Clients’ Billing & Payments: include send out approved invoices after double checking invoice details & cross referencing across systems, tax/permit related forms, supervise outstanding progress & reminder confirmations, review updated status on all systems, confirm processed payments by junior bookkeeper,
communicate with clients for specified billing methods & figuring how to accept payment on various systems
* AP Review & Supervision - suppliers’ billing & payments: double checking verified information by junior bookkeeper (including incoming bills, outgoing payments, production final details/costs on various systems, etc)
* AP/AR Process & Reports: Daily/Weekly/Monthly Printing Software closeouts of all verified invoices (including all information/files needed & any internal losses related)
* AP/AR Process & Reports: Daily/Weekly/Monthly Quickbooks closeout verifications for all invoices & payments (including complex bookkeeping of losses & discrepancies for all entities)
* Assist in Accounting Department related QAs + Issues + clients' communication that cannot be handled by Accounting Assistant, junior Bookkeeper, Front-End Sales, Production and Marketing
* Assist in referring to CEO, top management, or certain team members for various Accounting Department corporate and/or suppliers related tasks
* Assist Management on Accounting Department related projects, and communication & supervise various Departments’ Team members coordination
* Provide weekly updates & reports to department managers via chosen app/software and/or actual Skype meetings
* Answer & communicate any incoming Accounting Department calls during PST Daytime hours when Accounting Assistant is not available or cannot handle the situation
* Organize files & Retrieve information on our online filing system (NAS)
* Data entry & Retrieve information using Asana, Gmail, Google Drive/Sheets/Docs, our printing software systems, and any other apps/software utilized by the company
* Any other tasks that surfaced & need assistance assigned by Top management
* Attend necessary trainings and/or meetings

Job Requirements:
* Quickbooks (Online version) Certification, based on newest version if possible
* Excellent verbal & written English communication
* Minimum basic understanding of common American-English shorthand vocabulary & abbreviations
* Multi-task with a clear calm mind ~ balance at least 3-5 complex projects or workflows, including routine daily/ weekly/monthly tasks; while keeping an eye for constant updates via messaging or email (regarding any pending questions & issues).
* Maintain digital financial records in a fast-paced environment
* Exceptional attention to details & good memorization skills ~ Reviewing & analyzing production & logistic data provided for final invoices of each Sales/Ops Team member and/or assigned Executive Assistant (including internal costs, potential add'l fees required, etc)
* Excellent in math & comfortable with numbers ~ Detailed oriented enough to process clients' billings and variety of payment methods, plus re-confirming on various online billing systems. Add'l data entry of internal financial transactions onto appropriate databases (including losses, discrepancies, etc). Able to create simple formulas for confirming calculations & check for accuracy when there's a discrepancy.
* Prioritize & adjust daily as needed ~ Ability to work effectively with minimal supervision, while organizing a daily workload by priorities. Anticipate future needs and deadlines, including keeping in mind when quarterly & annual tax filing deadlines are approaching and review all present financial records to assure that they are accurate.
* Critical Thinking & Be Proactive ~ come up with solutions & ideas by thinking 'out-of-the-box' for different scenarios. Proactive approach to problem-solving & handling repetitive scenarios based on previous solutions provided by top management.
* Can Supervise & Delegate accounting-related administrative tasks ~ Work closely and effectively with the Accounting Assistant and Junior Bookkeeper to inform top management & CEO of various financial aspects.
* Team-oriented philosophy ~ Capacity to quickly learn organizational structure & each Team members' roles.
* Strong interpersonal & communication skills ~ preferably with superb office professional written knowledge, and personalized communication skills to work effectively with current Team members.
* Has work experiences of: Quickbooks, financial analysis, Data systems entry & organization, Gmail management, products or production based business environment.
* MUST HAVE Virtual Assistant AND financial/accounting related work experiences (minimum 2 years, prefer 5+yrs if combined)
* Monday to Friday from PST 8/9:00am-6/7:00pm with maximum 1 additional day on weekends. Daily schedule may vary depending on Accounting Department’s routine closeouts or tax filings, and/or top management’s work schedule. The expected working hours will be 9-12 hours per day, 5-6 days a week, 30-minute or 1-hour lunch/breakfast break.
* Can accommodate scheduled weekly training/coaching related sessions & mandatory meetings, which may differ from the normal work hours.
* Has valid Microsoft Office & Adobe Reader applications
* Excellent knowledge of Quickbooks Online Version, including handling various entities & specified coding for P/L reports
* Good knowledge of Google Drive/Docs/Sheets features, including editing & sharing & data re-organization features
* Good knowledge of Gmail Workspace/Suite system & all related features, including Google Group & Delegation
* Fast-learner on new softwares & applications

Required Equipments:
* Reliable computer (minimum of 12Gb RAM) with mouse, which can run & operate at least 8+ apps with 5+ browser windows (5+tabs each) at the same time
* Noise-cancellation headset with mouthpiece (minimum 10+hr talk time if wireless)
* Additional computer or TV screen to effectively view information on various systems & complete necessary tasks
* Stable wired internet connection (minimum of 60/90Mbps), NOT pre-paid wireless modem dependable on cellular network only
