**The Role:**
As a Billing and Payroll Professional Assistant, you'll be responsible for:
- Client invoicing
- Third-party claim submission
- Posting cash receipts
- Completing accounts receivable billing and charge entry duties
- Seeking and maintaining client service authorizations for payment
- Verifying and processing payroll for field staff accurately and on time
You will build relationships with our payors and field staff from the first phone call. You'll interact with our Administrator via phone, instant messaging,
**Work Hours:**
- Full-time (40 hours/week)
- Monday - Friday, 9:00 am - 5:00 pm EST (East Coast Time)
**Job Duties:**
- Prepare, review, and transmit claims using billing software (both electronic and paper)
- Obtain referrals and pre-authorizations as needed
- Ensure client demographics, insurance, billing information, and authorizations are accurately entered
- Review patient bills for accuracy and completeness, obtaining any missing information
- Follow up and collect on unpaid claims within the standard billing cycle timeframe
- Check each insurance payment for accuracy and compliance with contracted rates
- Invoice private pay clients and payors
- Contact clients in arrears
- Post payments
- Review unpaid accounts to determine status and required action, following through until payment is received
- Reconcile payments
- Contact insurance company payers via web portals and phone calls to retrieve claim status
- Send corrected claims, reconsideration, and appeals to insurance as needed
- Notify the Administrator of recurring issues or errors
- Follow up on outstanding claims every two weeks
- Research appeal status if no correspondence is received within 14 days
- Assist with payroll processing, including auditing timecard records and identifying discrepancies
- Process payroll withholding amounts and respond to employee inquiries
- Pursue relevant training and development opportunities
- Perform additional duties as needed
**Requirements:**
- Proven experience as a Virtual Assistant in Billing and Payroll or a relevant role
- Bachelor's degree preferred
- Excellent English speaking and writing skills
- Knowledge of basic HR laws in the United States for phone screening applicants
- At least 1 year of billing experience
- Two computers
- Reliable, high-speed wired internet connection (15-25 Mbps)
- Noise-cancelling headset with microphone
- Quiet home or office space
- Familiarity with current technologies (G-Suite, Asana, etc.)
- Excellent communication, time management, and organizational skills
- Dependable, trustworthy, detail-oriented, and self-motivated with a "get the job done" attitude
