We are looking for a Billing Support Virtual Assistant who will be responsible for providing work-from-home assistance to Vocal Wallstreet® by managing various billing-related tasks. Their primary duties include sending invoices and account updates to clients, maintaining accurate records of client accounts and outstanding balances, receiving, sorting, and tracking incoming payments, and issuing invoices. Additionally, they manage the billing for all mentorship programs & online communities within Vocal Wallstreet®.

Roles and Responsibilities
A typical day in the life of a Billing Support Virtual Assistant working with our team includes:
Receiving and Sorting Payments:
Handle and sort all incoming payments from clients among our payment processing systems
Track payment statuses and ensure records are updated accurately.
Managing Accounts:
Monitor the status of Client accounts and balances, identifying and resolving inconsistencies.
Update the accounts receivable database with new accounts or missed payments.
Ensure all clients are informed about their outstanding debts and payment deadlines and work with them to settle their balances via Phone, Zoom, or
Issuing and Posting Bills:
Issue and post bills, receipts, and invoices promptly and accurately
Managing Billing for Communities and Automated Systems:
Oversee billing processes for Mentorship Programs and Online Communities.
Manage automated billing systems to ensure timely and accurate invoicing.
Strategically optimize existing processes to enhance the flow of information
Client Relations:
Provide solutions to any billing-related problems or queries from clients promptly with a solution and customer oriented approach
Communicate effectively with Clients and Internal Departments to keep clients updated on their account status and address any issues
Data Management and Reporting:
Brief management on billing activities with clear, reliable data.
Collaborate with collection departments to relay client information.
Attention to Detail:
Pay close attention to detail to ensure all billing information is accurate and reflected in the designated systems
Maintain organized records and documentation for all billing activities.
Skills and Qualifications
Strong written and verbal communication skills.
Exceptional organizational abilities.
Ability to pay close attention to detail and strategically resolve billing discrepancies with professionalism and care.
Proficiency in using and leveraging billing and financial software within Freshbooks, Stripe, Kartra, Thinkific, and Microsoft Applications (particularly Excel).
Experience in managing billing for communities and automated systems.
Proficiency in using ClickUp or other comparable project management software, Slack or other comparable team communication software; Hubspot or Go High Level ( or any other comparable CRM systems)
Ability to work independently, take initiative, troubleshoot, and manage multiple tasks simultaneously.
