JOB OVERVIEW

We are seeking a highly organized, detail-oriented, and proactive Virtual Assistant to support our client management team. The ideal candidate will have excellent communication skills, a strong work ethic, and proficiency with various tools and platforms. This position involves assisting with tasks like transcribing meeting recordings, preparing client-facing materials, organizing files, tracking success metrics, and managing client communication.

Responsibilities:

Transcribe Meeting Recordings: Use transcription software like Otter.ai to transcribe meeting recordings and convert them into follow-up items for client managers.

Prepare Client Presentations: Create visually appealing slide decks for client meetings using Canva, ensuring they are well-organized, informative, and aligned with client needs.

File Management: Organize and maintain client files, video recordings, and other important documents in Google Drive, ensuring proper categorization and easy retrieval.

Track Client Success Metrics: Monitor and update client success metrics using Google Sheets. Prepare reports that summarize performance, trends, and actionable insights.

Follow-Up on Status Reports: Regularly follow up with client managers to gather status updates, action items, and ensure timely completion of deliverables using Gmail and Slack.

Bonus Skills (Preferred, but not required):

Familiarity with frequent flyer programs and loyalty programs for airlines and USA-based credit card companies such as Chase, Amex, Capital One, Citi, BILT, American Airlines, Alaska Airlines, British Airways, Air Canada, Singapore Airlines, Cathay Pacific, Qantas, Virgin Atlantic, Air France, United, Delta, and Southwest Airlines.
Skills and Qualifications:

Proficiency in using Otter.ai (or similar transcription tools) and Canva for designing presentations.
Strong organization skills and proficiency with Google Drive and Google Sheets for file management and data tracking.
Familiarity with email and messaging platforms, such as Gmail and Slack, for client communication and follow-ups.
Excellent attention to detail and ability to work independently.
Strong communication skills, both written and verbal.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
A positive, solution-oriented attitude and a willingness to learn new tools and processes.
Working Hours:

Flexible hours (must be available during standard business hours for communication and support).
