Assistant Property Manager (Receptionist/Administrative Assistant)

This is a fully remote / work from home opportunity.

Role Overview:
We are seeking a highly organized and detail-oriented Assistant Property Manager (Receptionist/Administrative Assistant) to support a fast-paced property management team. This role plays a crucial part in ensuring seamless administrative operations, effective communication, and coordination between residents, vendors, and management. The ideal candidate will have strong problem-solving skills, the ability to multitask, and a commitment to providing exceptional customer service.

Key Responsibilities:
- Manage phone calls, schedule meetings, send calendar invites, and draft business correspondence.
- Track work orders, property violations, estimates, and project proposals.
- Coordinate site visits, repairs, and communications between service providers, owners, and tenants.
- Respond to emails, maintain electronic files, and ensure confidentiality of information.
- Support managers with outbound calls, reports, and administrative tasks.
- Utilize property management software and office tools (Vendor Smart, Ring Central, Athena, Compliance 360, Microsoft Office, Google Sheets, etc.).
- Perform additional duties as needed.

Required Skills & Qualifications:
- Strong verbal and written communication skills.
- Advanced computer proficiency (Microsoft Office, Windows OS).
- Experience in a professional office environment (Real Estate experience preferred but not required).
- Excellent organization, time management, multitasking, and problem-solving skills.
- Ability to work independently, professionally, and collaboratively.
- Adaptability and eagerness to learn.
- Willing to work full-time (40 hours per week) following US time zones.

Preferred Qualifications:
- Experience in real estate or property management.
- Familiarity with Vantaca property management software (training available).
