Job Overview
We are seeking a highly organised and detail-oriented Assistant Property Manager to support our property management team in ensuring smooth operations. In this remote role, you will assist with maintaining the property portfolio, coordinating with the Senior Property Manager, and collaborating with the team online from the comfort of your home.

Role and Responsibilities

1. Maintenance Coordination and Scheduling
- Manage incoming maintenance requests.
- Assess issues and evaluate the best option.
- Coordinate quotes, work orders, and job updates.
- Ensure timely completion and invoicing of maintenance tasks.
- Communicate with tenants regarding maintenance needs.

2. Inspection Scheduling and Reporting
- Manage inspection schedules and coordinate runs.
- Organise inspections based on due dates and property status.
- Work with inspection officers to align regional schedules.
- Follow up on inspection reports and complete maintenance requests generated from them.

3. Trade and Communication Management
- Respond to tenant and trade inquiries.
- Coordinate entry notices and share relevant documents.
- Provide tenancy-related information and support.
- Collaborate with accounts to set billing preferences for landlords.

4. Lease and Rent Renewal Coordination
- Prepare lease renewal recommendations.
- Coordinate lease renewal paperwork and follow-ups.
- Communicate lease terms with tenants and landlords.
- Update records and reports post-renewals.

5. Vacate and Break Lease Process
- Collaborate with the marketing team to begin the reletting process.
- Coordinate exit inspections and tenancy handovers.
- Collaborate with accounts on bond refunds and utility arrangements.
- Ensure compliance with regulations and internal procedures.

6. Court and Insurance Support
- Organise documentation and correspondence for legal and insurance matters.
- Follow up on missing or incomplete documents.
- Set deadlines for tasks and communication follow-ups.

7. Change of Tenancy Management
- Facilitate the change of tenancy process.
- Manage paperwork and communications between tenants, and relevant parties.
- Ensure tenancy records and software are updated.

8. Pet Application Management
- Guide tenants through the pet application process.
- Coordinate with the senior property manager.
- Ensure compliance with building regulations and lease agreements.

Skills and Qualifications
- Proficient in time management and task completion.
- Highly detail-oriented.
- Excellent written and verbal communication skills.
- Fluent in English.
- 1 - 2 years experience in property management is highly desirable.

- Google Chat, Google Meet, Google Drive, and others as needed.
- Research Tools
- PropertyMe, TPS, TradeMe, Zoho and others as necessary.

What We Offer
- Training Pay: $6 USD/hour.
- Post-Training Pay: $7.50 USD/hour.
- Position Type: Full-time, Monday to Friday.
- Start Date: January 13, 2025.
