Job Title: Amazon Admin Virtual Assistant
Reports To: Operations Manager and/or CEO

Job Summary:
The Amazon Admin plays a critical role in ensuring smooth operations within the company's Amazon business. This position is responsible for troubleshooting issues related to the Amazon Seller Central account, managing shipments, tracking inventory, and maintaining accurate data records. The Admin ensures that all shipments from suppliers and prep centers are accurate, monitors account health, and escalates issues that may impact sales, profitability, or supplier relationships. Additionally, the Admin is responsible for resolving suppressed listings, fixing stranded inventory, handling reimbursement claims, and ensuring compliance with Amazon policies.
This role requires strong analytical skills, attention to detail, and the ability to communicate effectively with suppliers, prep centers, and the internal team. The Admin must uphold strict confidentiality regarding company data and ensure adherence to best practices in Amazon account management.

Key Responsibilities & Expectations:
• Work exclusively for our company, with no concurrent employment elsewhere.
• Utilize HubStaff for tracking and reporting work hours.
• Maintain honesty and transparency, which will be reciprocated by the company.
• Troubleshoot errors and issues related to the Amazon account.
• Escalate issues—specifically, if they affect account health, sales, profitability, or supplier/distributor relationships.
• Ensure all shipments ordered from suppliers/distributors are accurate, with no missing, damaged, or incorrect items. If discrepancies arise, escalate these issues to the supplier/distributor for replacement or refund.
• Review the prep sheet from our Prep Centers and ensure there are no errors from the Shipments and Amazon Inventory
• Track all shipments from the date of order, shipment, and delivery to the Prep Center.
• Track shipments from the Prep Center to Amazon and ensure no lost deliveries occur between the Prep Center warehouse and the Amazon warehouse.
• Review all shipments to the Amazon Warehouse to check for missing, damaged, or reimbursed items.
• Investigate and create cases for all missing and damaged items with Amazon Support, seeking investigation or reimbursement for the missing units/items.
• Fix suppressed listings on Amazon and ensure that all in-stock inventory is on an active listing and searchable by the public.
• Fix stranded inventory.
• Create cases for returned items caused by fraudulent customers.
• Track key performance indicators (KPIs) for researched products.
• Collect Amazon shipment information for tracking.
• Collect data on Amazon reimbursements.
• Ensure product selections comply with Amazon’s policies and guidelines.
• Identify and mitigate risks related to intellectual property and restricted products.
• Ensure that the product submitted is not a Private Label.
• Maintain strict confidentiality of company data, research strategies, and supplier information.
• Do not share confidential information outside the company and/or with employees who are not authorized to have such information.

Salary:
• $5/hour
• Weekly payments via Wise.

Work Environment:
• Fully virtual position with flexible hours.
• Work Schedule: Monday to Friday
• Work Time: Expected to start before 8:00 AM and be done before 12:00 AM (GMT+8)
