JOB OVERVIEW

Job Summary
We are seeking a highly organized and proactive Administrative/Executive Assistant to support our executive team and contribute to the smooth running of our business operations. The ideal candidate will have exceptional communication skills, a high degree of professionalism, and the ability to multitask effectively in a fast-paced environment.

Key Responsibilities
Executive Support: Provide administrative support to the executive team, including managing schedules, coordinating meetings, and organizing travel arrangements.
Calendar Management: Maintain and coordinate multiple executives’ calendars, ensuring meetings and appointments are scheduled efficiently.
Communication: Act as a point of contact between executives, employees, clients, and external partners, managing and prioritizing communication.
Documentation: Prepare, proofread, and edit documents, reports, presentations, and correspondence.
Meeting Coordination: Schedule and organize meetings, including preparing agendas, taking meeting minutes, and following up on action items.
Travel Arrangements: Organize and book travel accommodations, itineraries, and expense reporting for executives.
Project Assistance: Support ongoing projects by conducting research, compiling data, and ensuring timely completion of tasks.
Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
Task Management: Prioritize and manage multiple tasks and projects, meeting deadlines and maintaining high-quality work standards.

Qualifications and Skills
Experience: Minimum of 3 years of experience as an Administrative or Executive Assistant, or in a similar role.
Education: Bachelor’s degree in business administration, communications, or a related field preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with tools like Google Workspace, Slack, and project management software (e.g., Trello, Asana).
Communication: Exceptional written and verbal communication skills.
Organization: Strong organizational skills with a keen attention to detail.
Problem-Solving: Ability to anticipate needs, think critically, and offer solutions proactively.
Professionalism: High level of integrity and the ability to handle confidential information appropriately.
Flexibility: Adaptable and able to work in a fast-paced environment with shifting priorities.
