Job Description:
The Administrative/Billing Coordinator will assist with billing, invoicing, general administrative support, and contribute to website updates and marketing material creation. This part-time or freelance role ensures accurate and timely billing, helps manage accounts payable/receivable, supports administrative tasks, and assists in enhancing our brand presence through website and marketing efforts.
Key Responsibilities:
Billing & Financial Support:
Manage billing cycles, create invoices, and follow up on overdue accounts.
Track project budgets, expenses, and incoming payments.
Prepare financial reports as needed for project reviews and planning.
Administrative Support:
Assist with scheduling, filing, and client communication.
Maintain and organize digital and physical files.
Website Updates:
Update website content, including new client projects, blogs, and service descriptions.
Ensure website functionality and design are current and aligned with branding.
Collaborate with designers or developers for complex updates when necessary.
Marketing Material Creation:
Design and edit marketing materials such as brochures, social media graphics, and

Maintain branding consistency across all materials and platforms.
Qualifications:
At least 2 years of experience in an administrative, bookkeeping, or marketing support role, preferably in an architectural, construction, or creative setting.
Strong organizational skills and attention to detail.
Proficiency in billing software (e.g., QuickBooks or similar accounting tools).
Basic knowledge of website management (e.g., WordPress) and graphic design tools (e.g., Canva or Adobe Creative Suite).
Excellent written and verbal communication skills.
Ability to prioritize tasks, work independently, and meet deadlines.
A creative eye for design and branding is a plus.
