Administrative Assistant (Accounts Receivable Focus)
Are you an accounting whiz with a knack for keeping things organized? Do you love numbers, QuickBooks, and making sure invoices are on point? If so, we’d love to meet you!
We are a small but fast-growing third-Party Logistics (3PL) company looking for an Administrative Assistant to support our Accounts, invoicing & Accounts Receivable operations. We need someone sharp, detail-oriented, and proactive who can keep the financial and administrative side of things running smoothly.
What You’ll Do:
-Manage accounts receivable, ensuring invoices are accurate and payments are tracked.
-Assist with accounting tasks, including reconciliations, reporting, and data entry.
-Work in QuickBooks and other accounting tools to maintain financial records.
-Communicate with clients and internal teams to ensure smooth transactions.
-Handle general administrative tasks such as:

- Data Entry – Updating records, spreadsheets, and databases.
- Document Preparation – Creating invoices, reports, and other business documents.
- Scheduling & Calendar Management – Booking meetings, reminders, and coordinating with the team.
- Customer & Vendor Communication Support – Responding to inquiries, following up on payments, and coordinating with vendors.
- Filing & Organization – Maintaining digital files, invoices, and financial documents.
- Expense Tracking – Managing receipts, reimbursements, and petty cash records.
- Reporting & Reconciliation – Preparing financial summaries and assisting in reconciliations.
- Assisting in Process Improvement – Helping to streamline workflows and improve efficiency.
What We’re Looking For:
Experience required – at least 2+ years in accounts/accounts receivable.
Familiarity with QuickBooks and other accounting software.
Strong attention to detail – because every number counts!
Excellent communication skills – written and verbal.
Proactive, reliable, and able to work independently.
