Position Overview:
We are seeking a highly organized and proactive Administrative Assistant to support our daily business operations while assisting with public relations outreach. This full-time role reports directly to the Operations Manager and requires strong English communication skills, as the role involves client interaction and media outreach. The ideal candidate should have exceptional attention to detail, excellent written and verbal communication skills, and the ability to leverage AI to work efficiently.
Key Responsibilities:
Executive & Administrative Support:
• Manage
• Handle incoming and outbound calls on behalf of the company, including cold calling.
• Assist in drafting and reviewing professional correspondence for internal and external communication.
• Handle calendar and schedule management, coordinating appointments, meetings, and follow-ups.
• Prepare and organize reports, presentations, and documents for internal use.
• Support hiring processes by reviewing resumes, scheduling interviews, and coordinating with candidates.
• Manage and maintain digital files, company records, and confidential documents.
• Assist with travel arrangements, booking flights, accommodations, and itinerary planning when needed.
• Track and manage administrative tasks to enhance operational efficiency.
Public Relations & Outreach (4 hours/day):
• Research and compile a targeted media contact list, including journalists, podcast hosts, and influencers relevant to the company’s industry.
• Conduct media outreach, pitch company executives for interviews, and follow up with media contacts.
• Assist in securing guest speaking engagements and media placements for company executives.
• Coordinate logistics for interviews, speaking engagements, and PR-related events.
• Monitor and track media coverage, maintaining a database of press mentions.
• Support the creation of press releases,
• Provide weekly reports on PR outreach efforts, responses, and campaign progress.
Qualifications:
• Exceptional English communication skills (both written and spoken).
• Proven experience as an Executive Assistant, Administrative Assistant, or PR Coordinator.
• Strong
• Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and project management tools.
• Ability to conduct thorough research and compile information effectively.
• Familiarity with media outreach, PR strategies, and digital marketing is a plus.
• Excellent organizational and multitasking abilities in a fast-paced environment.
• A proactive, problem-solving mindset with attention to detail.
Compensation & Reporting:
• Rate: Starting $5 per hour
• Full-time position (40 hours per week)
• Schedule: The standard working hours are 8:00 AM - 4:00 PM EST, but you may need to adjust your schedule or work late until 8:00 PM EST during the second week of each month.
