JOB OVERVIEW

Executive Administrator

We are seeking a highly organized, detail-oriented, and proactive Administrator to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and the ability to handle multiple tasks efficiently. The Executive Administrator will play a critical role in supporting daily operations, managing calendars, coordinating meetings, organize emails and ensuring smooth communication across all levels of the organization.

Key Responsibilities:

Executive Support:
- Provide administrative support to executive, including managing their emails, schedules, organizing meetings, and ensuring timely follow-ups.
- Handle confidential information with discretion and professionalism.
- Coordinate travel arrangements, itineraries, and accommodations for executives.


Email
Management:
Inbox Organization & Monitoring: Regularly monitor the executive’s inbox, ensuring emails are read, categorized, and prioritized appropriately.

Email
Filtering & Prioritization: Screen incoming emails, flagging urgent matters and ensuring the executive is only receiving high-priority or important emails, while redirecting or delegating others as needed.
Responding on Behalf of Executives: Draft and send email responses on behalf of the executives for routine or non-sensitive inquiries, ensuring a professional tone and alignment with the executive’s voice.
Flagging & Follow-ups: Highlight key messages that require immediate attention and follow up on unresolved emails or tasks.

Data Entry & Management:
Inputting Data: Accurately input large volumes of data from various sources (paper documents, emails, spreadsheets, etc.) into company databases or software systems.
Data Validation: Ensure that entered data is correct, complete, and consistent, and verify accuracy before finalizing.
Updating Records: Regularly update and maintain records, ensuring they reflect the most current and accurate information.
Data Categorization & Organization: Organize and categorize data in accordance with company guidelines and best practices for easy retrieval and analysis.

Qualifications:
- Proven experience as an Administrative Assistant, or in a similar administrative role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Proficiency in Google G-suite (Google Docs, Google Sheets, PowerPoint) and other relevant office software.
- Strong problem-solving abilities and ability to work under pressure in a fast-paced environment.
- A proactive, self-starter with the ability to work independently and as part of a team.
- Detail-oriented with excellent multitasking and organizational skills.
- A positive attitude, with excellent interpersonal skills and the ability to build relationships at all levels of the organization.
