Position: Virtual Assistant – Accounting & Contract Administration
Type: Full-Time, Remote, Must be available 9:00AM - 5:00PM Eastern Time
Location: Work from Home

As our team grows, we’re looking for a highly organized and detail-oriented Virtual Assistant to join us. This role is crucial to ensuring smooth operations in accounting and contract administration, including warranty management.

Responsibilities:
• Accounting Tasks:
• Process invoices, track payments, and manage accounts payable/receivable.
• Maintain accurate financial records and prepare basic reports.
• Reconcile transactions and ensure compliance with internal accounting policies.
• Contract Administration:
• Draft, review, and manage contracts with resellers and dealers.
• Track contract milestones, renewals, and expirations.
• Maintain organized digital records of contracts and agreements.
• Warranty Management:
• Handle warranty claims from initiation to resolution.
• Communicate with customers to gather necessary information and provide updates.
• Work closely with internal teams to ensure warranty claims are processed efficiently.
• Provide general administrative support to the operations teams as needed.

Qualifications:
• Proven experience as a Virtual Assistant or in a similar administrative/accounting role.
• Proficiency with quickbooks and spreadsheets (Google Sheets, Excel).
• Familiarity with contract management and warranty processing.
• Exceptional organizational and time-management skills.
• Excellent written and verbal communication skills in English.
• Ability to work independently, prioritize tasks, and meet deadlines.
• High level of accuracy and attention to detail.

Preferred:
• Experience with CRM systems (e.g., HubSpot) and cloud-based tools (e.g., Google Suite).
